The bottom frame of Membership Manager displays the result of the list of members specified by the top frame. Each Account No is hyper-linked to display full account details. In addition, a variety of batch operations can be conducted on the result.

The result might be broken down into many pages, you can navigate between the pages. The link will appear on the bottom of the page.

Batch Operation Instructions

This is a crucial part of the Membership Manager. Click on the Batch Operations to jump to the end of the page where all the buttons reside. Before any further action, you must select items by clicking on the check box(es) in front of the Account No(s).

Select All:  Click to select all the items in the list. Useful when the list is huge.

Export Members:  Click to export the selected accounts in to a text file in a comma delimited format (CSV). The file can then be used / manipulated with any accounting packages. You may specify the Date format from the Date format drop-down list.

Microsoft Excel may launch itself within the browser to display the data, which however, might not handle the CSV format by default. Follow the steps to correct the problem:

  • Click on the "A" column to highlight the entire column.
  • From Window's Menu, click Data -> Text to Columns -> "Delimited" -> "Comma" -> Finish.
  • Then File -> Save As -> Select "CSV (Comma delimited)(*.CSV)" as the "Save as type".

MS Excel might also display a Shop Manager Login page. This is a bug in MS Office 2000. Upgrade it with the latest service packs from Microsoft.

Export Addresses:  Similar to the above, but exports only the address fields of the selected accounts. This is useful when you have a program to print the mailing labels.

Email Members:  Click to send a news letter to the selected members. Select a pre-written letter from the News Letter drop-down box. Click on the Edit link next to it to edit news letters.

Delete Members: Click to delete the selected accounts permanently from the underlying membership database. Use with extreme certainty.

Date Format:  Click this drop-down list to select the appropriate date format when exporting the data. The default is the system format set on the Web server's computer.

News Letter:  Click this drop-down list to select a news letter to be used with Email Members. Click on the Edit link next to it to edit news letters.

Batch Renewal / Recurrent Billing: Click to process batch renewal or recurrent bills on the current list (not just the current page). It will automatically scan through the members and update and display any accounts that have a balance to pay. It can then let you process the payments  (e.g. via real-time credit card transactions) on behalf of the members, one by one. Or you can re-list the accounts with balance and send them special newsletter to inform and instruct them to process the payments.

Tip: This is the core part of membership management. News Letter and Bulletin Board are the two most effective ways to communicate with members.
