Create a News Letter

This page lets you create and edit the news letters sent to the members. It then can be selected from the List Result page and distributed to the members in a batch mode. On the Membership Manager page, you can select only those members who check to receive your emails. The will avoid possible spamming complaints from the customers.

To start with, you must select an existing letter from the drop-down list or create a new one by clicking the New button. You can also remove an existing letter by pressing the Delete button

Use of Tokens

CyberClub allows to personalize the newsletter by the use of tokens. A token is a special word in the body of the newsletter, which will be replaced by information related to a particular member at run time,  read off from the membership database. For example, when editing the newsletter, use #Account#, #FirstName# to represent the Account Number and First Name of the member in question. At run time, they will be replaced respectively by the actual account number and first name of the member to whom the email is sent.

The syntax for a token is #{field name}#. Where the field name must match those from the Members table in the membership database. It is case sensitive.

Operation Instructions

Edit the following fields then click on the Update Info button to update the changes to the system.

Subject:  Enter an appropriate subject for the Letter.

Contents Format:  Check to tell the system that contents are supplied in HTML format. The program then will not try to encode elements like "<" in order to display them correctly.

Sender: The sender name that will appear on the email of the News Letter.

Sender Email: The email that sends the News Letter.

Opening: The Opening of the letter, such as "Dear".

Header:  Some header information that goes with the Letter, some standard stuff such as an anti-spamming legal statement about your letter.

Contents:  The main body of the Letter.

Insert from File:  Specify a file whose contents are to be inserted into the email body. Use either the physical pathname (e.g. c:\myfolder\myfile.htm) or a virtual pathname (e.g. /myfolder/myfile.htm). The file must be uploaded to the server.

Footer:  Some Footer information that goes with the Letter, some stand stuff such as some copyright etc. statement about your letter.

Closing:  The Closing of the Letter,such "Best Regards".

Signature:  The Signature of the Letter, stating who writes the Letter.

File to Attach:  Specify a file to be attached to the news letter. Use either the physical pathname (e.g. c:\myfolder\myfile.htm) or a virtual pathname (e.g. /myfolder/myfile.htm). Again the first must exist on the server. File attachment is not recommended for general usage since most people are scared of getting computer viruses from attachments.
