The bottom frame of List Orders or List Order Items displays the result of the listing specified by the top frame.

Each Order ID, when present, is hyper-linked to display full Order Details suitable for print out and further actions can be taken from there.

The Account, when present, is hyper-linked to the CyberClub's Account Details.

When operates as a mater shopping cart, it can also have links to the franchises shopping carts and to email vendors.

In addition, a variety of batch operations can be conducted on the result.

Batch Operations

This is a crucial part of the Shop Manager. Click on the Batch Functions to jump to the end of the page where all the buttons reside. Before any further action, you must select items by clicking on the check box(es) in front of the Order ID(s). If you change the order status on an order, the box is checked automatically for it.

Select All:  Click to select all the items in the list. Useful when the list is long.

Export Orders:  Click to export the selected orders in to a text file in a comma delimited format (CSV).  You may specify the Date format from the Date format drop-down list. The file can then be used / manipulated with any accounting packages. SmartWin provides the interface to a number of popular ones, a link is provided on the page.

Microsoft Excel may launch itself within the browser to display the data, which however, does not handle the CSV format by default. Follow the steps to correct the problem:

  • Click on the "A" column to highlight the entire column.
  • From Window's Menu, click Data -> Text to Columns -> "Delimited" -> "Comma" -> Finish.
  • Then File -> Save As -> Select "CSV (Comma delimited)(*.CSV)" as the "Save as type".

MS Excel might also display a Shop Manager Login page. This is a bug in MS Office 2000. Upgrade it with the latest service packs from Microsoft.

Export Addresses:  Similar to the above, but exports only the address fields of the selected orders. This is useful when you have a program to print the mailing labels.

Update Status:  Click to update the status codes for the selected items. You set the new status codes from the drop-down list next to each Order ID.

Email Customers:  Click to send emails to the selected customers notifying their current order status should there be any changes to their orders. Typically used in conjunction with the Update Status button.

Delete Order: Click to delete the selected orders permanently from the on-site database. Use with extreme certainty. You don't normally need to so. Rather you would change the status to "Cancelled".

Date Format:  Click this drop-down list to select the appropriate date format when exporting the data. The default is the system format set on the Web server's computer.

Tip: This is one of the most welcomed features of CyberShop. Typically, you would leave the orders in the database for a couple of months until your customers receive their credit card /bank bills. Also use the Email Customers function to keep them informed as much as possible.
